How we process and protect your automated server data.

At Kumiho, I believe that "Heavy Customization" must be built on a foundation of Total Transparency. This Privacy Policy outlines exactly how your data is handled within our magical ecosystem.

1. The Data We Process

We only collect the minimum amount of data required to provide a functional and engaging experience.

1.1 Discord Entity Information

  • User IDs: Unique Discord identifiers for ranking, social profiles, and infractions.
  • Guild & Channel IDs: Required to store server configurations and route messages.
  • Metadata: Timestamps of message activity (for XP calculation) and command usage.

1.2 User-Generated Content

  • Asset Links: URLs to custom backgrounds or icons used in Canvas generation.
  • Transcripts: Full history of closed support tickets (Temporary storage).

1.3 Automatic Processing

  • Image Safety Analysis: Custom backgrounds and icons are scanned using the nsfwjs (TensorFlow.js) engine locally on our servers to ensure compliance with our content standards.

2. Technical Infrastructure & Processing

Kumiho does not sell, rent, or trade your personal data to third parties for marketing purposes.

2.1 Infrastructure Providers

Data is processed and stored by our Infrastructure & Hosting Partners (e.g., VPS providers and MariaDB database hosting). These partners are selected for their security standards and are used strictly to maintain the stability and availability of the Kumiho service.

2.2 Security Standards

  • Encryption: Sensitive data, including Ticket Transcripts, is encrypted using AES-256-GCM (Advanced Encryption Standard). Dashboard session tokens use JWT with 256-bit signing.
  • Decryption: Access to encrypted transcript data is strictly restricted to the Ticket Author, Participating Staff, and Server Administrators via authenticated Dashboard sessions.
  • Access Control: Access to internal administrative logs and database records is restricted to core developers and authorized server administrators.

3. Your Rights & Data Autonomy

We empower users to control their digital spirit.

3.1 Data Portability & Exports

Users have the right to request a full archive of their Discord-related data stored by Kumiho. This is accessible via the "Privacy & Data" tab on the User Dashboard.

3.2 The Right to be Forgotten (Deletion)

  • Manual Requests: Users can request a full account purge through our Dashboard.
  • Retention & Purge Schedule:
    • Account Deletion: 7-day safety window before permanent purge.
    • Ticket Transcripts: Permanently deleted from the database 7 days after ticket closure.
    • Image Audit Logs: Flagged images are purged immediately after an Admin decision (Pardon/Confirm).
    • Leveling Backups: Server-wide leveling backups (CSV/JSON) are retained for 30 days.

4. Analytics & Health Monitoring

To maintain our "Fun Professional" performance standards, we monitor:

  • DB Latency: Anonymized snapshots of database response times.
  • Error Traces: Technical logs of bot crashes or interaction failures to facilitate rapid self-healing.

5. Policy Updates

Magical systems grow over time. We will notify users of significant changes to this policy via the Kumiho Dashboard or official Discord announcement channels.
